The medical clinic is seeking a dedicated and fluent bilingual individual proficient in both written and spoken Spanish and English Languages to join our team as a Front Desk Personnel. The ideal candidate will play a pivotal role as the initial point of contact for patients, ensuring professionalism, confidentiality, and a welcoming atmosphere within the clinic.
Duties and Responsibilities:
Documentation System Mastery: Learn and comprehend the clinic's documentation system (Tebra, formerly Kareo) used for managing patient information.
Patient Registration: Register new patients accurately in the clinic's system (Kareo).
Bilingual Communication: must be fluent in both Spanish and English to effectively communicate with a diverse patient population.
Professional Phone Etiquette: Answer incoming calls in a professional manner, identifying the clinic and assisting callers promptly and courteously.
Appointment Scheduling: Schedule patient appointments efficiently and remind them close to their appointment dates.
Patient Rooming: Assist in directing and guiding patients to their respective examination rooms or areas as required.
Insurance Verification: Verify and confirm patient insurance information accurately.
Payment Reminders and Collection: Politely remind patients about payments when necessary and collect copays or other service payments as required.
Office Maintenance: Maintain cleanliness and orderliness in the front office area to ensure a welcoming environment for patients.
Handling Messages: Check fax messages twice daily, notifying the provider of messages to download and save. Monitor clinic email for important messages that require immediate attention from the provider.
Lab Coordination: Complete lab orders, organize lab pickups as needed, and follow up on abnormal lab results. Safely store copies of abnormal lab results in the patient's Tebra account.
Document Management: Download and securely store patient demographic forms and other visit-related documents promptly in Tebra.
Vaccine Temperature Monitoring: ready to be trained on vaccines handling and storage per state guidelines.
Security Checks: Ensure the back exit door is checked daily for security purposes before leaving the premises.
Exam Room Maintenance: Maintain cleanliness and orderliness in exam rooms for patient comfort and hygiene.
Workspace Management: Ensure the front desk area, including counters, desks, and reception area, always remains clutter-free and well-organized.
